Van Tatenhove Center for Counseling

Who can use the services of the VanTatenhove Center for Counseling (VCfC)?

Services are available for Wilmore students of Asbury Seminary, as well as immediate family members in residence with students of the Seminary. Unfortunately, we are unable to provide services to faculty and staff, or other students residing in other states.

What is the cost of services?

Services of the VanTatenhove Center for Counseling are provided free of charge, except for psychological testing fees that may be suggested in certain circumstances.

What are the hours for the VanTatenhove Center for Counseling (VCfC)?

The office hours are Tuesday through Thursday from 5:00 p.m. to 8:00 p.m. Appointments are one hour long.

Who provides services for the VanTatenhove Center for Counseling (VCfC)?

Student-counselors who are in the final semesters of their masters degree program through the Asbury Seminary Department of Counseling and Pastoral Care provide counseling services. All student-counselors are under the supervision of licensed mental health professionals.

Is it confidential?

VCfC student-counselors, faculty supervisors, and support staff are trained to maintain confidentiality of counseling services. The Center is legally required to protect the privacy of your personal health information, which includes information that can be used to identify you and your past, present, or future health or condition and treatment.

If I prefer not to use the VanTatenhove Center for Counseling (VCfC), what are my options?

The Center for Counseling encourages those who wish to seek services elsewhere to contact the Office of Community Formation for additional assistance.

NSO FAQ SPO/Campus Store

Are there shipping services offered on campus?

Yes, we have the ability to create shipping labels through Fedex and USPS for domestic and international shipping needs as well as a meter machine for letter mail postage. We are also a drop off location for Fedex, USPS and UPS for items that already include the proper shipping documents. These services are available to all students, spouses, faculty and staff regardless of whether or not you live on campus. Our staff can advise on the most appropriate way to ship based on your needs. Certain fees will apply to each service.

Do we sell stamps?

We do not sell physical stamps on campus. What we have is a meter machine that prints the proper amount of postage on the letter/package based on weight. Pricing is slightly cheaper on the meter machine versus physical stamps. If you are wanting physical stamps, you can visit the Wilmore post office which is a short 5-minute walk from the seminary.

Where can I get snacks and drinks on campus?

We provide two locations to purchase snacks and drinks through the day. The main location is the Campus Store located in the student center and the second location is in the lobby at the Asbury Inn & Suites. Both shops are 100% accessible to students, spouses, families, faculty and staff. The Inn location offers a slightly bigger variety of meal options as well as fresh coffee for purchase each morning.

Can I buy course materials at the campus store?

The campus store transitioned away from selling course materials about 6 years ago. We have moved our main focus towards seminary branded apparel and gift type items. The books that we offer are from our publishing company, Seedbed. Seedbed books are geared more towards bible study curriculum, small group studies, training courses and other various books. However, as far as course materials go, the Campus Store will not have the items required for class.

Wilmore Parks & Recreation

General Info

Park Shelters & Pavilion Rentals:  All our Rentals are on our website at wilmore.org and reservation forms as well.  We are currently renting the shelters and pavilions!  There is a rental fee.  You can also call #859-858-4411.

Recreation Programs:  Currently our website is undergoing an overhaul and soon all of the programs available will be listed as well as means to register.  www.wilmore.org.

New Building/Facility:  The City of Wilmore recently purchased the former elementary school to serve as a new City Hall and Recreation Center.  The City is in the process of moving currently.  There will be spaces available for rental as well as many new programs for both kids and adults.  210 S. Family Housing: How do I pay my rent?

Cash or Check in the Business Office, or online through your student portal (there is no fee if you choose the e-check option.

Something isn't working properly in my room/apartment/townhome. Who do I contact?

Email facilities@asburyseminary.edu with your name, where you live, and a detailed description of the issue. They will create a work order and send someone to help.

I'm locked out! What do I do?

Check with your suitemates/family to see if anyone is around to let you in. If not, you can go to the Student Center front desk and check out a card or key OR contact the RA/RH on-call: RA On-Call (single housing): 859-354-8771; RH On-Call (family housing): 859-553-5906.

My internet/cable is not working properly. Who do I contact?

Email helpdesk@asburyseminary.edu with your name, room number, and a detailed description of the issue. They will create a work order and send someone to help.

Facilities Department

How do I place a work request with the Facilities department?

Please email facilities@asburyseminary.edu, call 859-858-2298, or use this link to create a work request. You may also come into the Facilities building. You are welcome to give your request in any of these ways.

When will Facilities come? Do I need to be present when Facilities arrives?

Facilities does not make appointments. A worker will come as soon as he is able, often within 1 to 3 business days, but this depends on work order load and priority. You do not need to be present when the worker arrives. If you do not answer his knock at the door, he will use a master key to enter your unit and repair your issue. If you want to be present when Facilities arrives, please call or email to schedule a day and time block during which you will be home, and Facilities will agree to come within this time frame. The time blocks are either 8:30 to 11:30 a.m. or 12:30 to 3:30 p.m.

What should I do if I have a high priority maintenance request after 4 p.m. weekdays or on weekends?

After 4 p.m. weekdays, and on weekends, Facilities does not monitor the office phone or email. For high-priority work orders at this time, please use the on-call procedure that was provided for you by Housing.

Does Facilities change my light bulbs?

Residents are required to change their own light bulbs, with a couple of exceptions. Facilities will change the long, flat fluorescent lights under the kitchen cabinets and in the closets. Facilities will also change a bathroom light if it is connected to the exhaust fan. For all other bulbs, please see the specs on your lightbulb and obtain your bulbs from places such as Walmart, Lowe’s, etc. Almost any bulb can be found at 1000bulbs.com.

Does Facilities offer pest control?

The Facilities department does not provide pest control of any kind. Residents are welcome to obtain any pest control supplies that will help their situation. They may also contact a pest control company if needed. The Seminary uses AllRite Pest Control for their campus buildings and recommends them. Chapel Office

What is the weekly schedule for worship services on campus?

Chapel services are on Tuesdays, Wednesdays, and Thursdays at 11:00am in Estes Chapel. We also offer a brief Daily Eucharist service on Mondays, Tuesday, Thursdays, and Fridays at noon. Eucharist is in Fletcher Chapel on Mondays and Fridays and in Estes Chapel on Tuesdays and Thursdays immediately following Chapel. Throughout the semester, we have occasional Night of Praise evening worship services and a Hymn Sing.

How can I get involved in participating in worship services (Scripture reading, prayer, music, art, etc.)?

We welcome all gifts in worship and value student participation in our services. Email the Chapel Team Lead Intern at chapel.team@asburyseminary.edu and share what gifts you would like to share in worship or how you would like to participate.

Are there ways I can engage in worship online?

Yes! Each Chapel service is live streamed at 11:00 ET at asbury.to/live and on Facebook Live at facebook.com/ATSChapel. We encourage you to follow us on social media (Facebook, Twitter, and Instagram) for the most updated announcements and to participate in conversations and worship resources only available online.

Is there childcare available for Chapel?

Childcare is available for Chapel on Tuesday and Thursdays in the Community House in Kalas Village. To indicate your interest and find out more, please email chapel@asburyseminary.edu.

Registrar’s Office

I received a scholarship and/or funding from my conference that requires I provide evidence of my enrollment. How do I request an enrollment verification?

The Registrar’s Office is happy to complete external forms and write letters to scholarship committees and conferences to verify your enrollment and academic standing. We ask that if you need an enrollment verification that you please submit the Enrollment Verification Request form to us at least two weeks before the deadline to allow ample time for processing. You can find the Enrollment Verification Request form, as well as additional details on requesting an enrollment verification, on our Connect webpage.

How can I request an official transcript?

If you are an active student, you can request an official transcript through the student portal. When you log in to the portal, you will find the transcript ordering link under the Academics tab of the menu. More details about ordering official transcripts, including cost, processing times, and shipping options, can be found on our Connect webpage.

I want to register for a hybrid course, but it conflicts with one of my weekly courses. Is there a way for me to request permission to register for both courses?

Anytime you want to request an exception to an academic policy, including registering for conflicting courses, you must submit an Academic Petition form to the Registrar’s Office. Your advisor can help you determine what permissions are needed before submitting your petition to the Registrar’s Office, as often times, professor approval is required.

Some other scenarios where you would be required to submit an academic petition include: degree change request, prerequisite waivers, course substitutions, and credit overload requests. The Academic Petition form can be found on the Connect Webpage under the Forms and Petitions link.

How do I drop a class?

If you want to drop a class before the add/drop deadline, you can do so through the student portal. Full directions on how to use the self-registration feature of the portal can be found on our Connect webpage.

If you decide to drop a class after the add/drop deadline, you will need to submit a Late Registration Change Request form to our office, which can be found on our Connect webpage under the Forms and Petitions link. It is important to be aware of the add/drop deadline for each semester, as academic and financial penalties may apply if you make changes to your schedule after the deadline. You can find important dates, like the add/drop deadline,  for each semester in the Academic Catalog.

LITS Department

General Info

First, you can always ask. You are diving into a lot of new information and systems in a very short period of time. Calling the Help Desk (859-858-2100) or emailing Helpdesk@asburyseminary.edu can guide you to a lot of answers!

Course submission isn’t working (video file attachment to a post, submitting a document to an assignment, etc.) OR a link/video isn’t working in my Canvas course page!
  • First, contact your professor! They are in charge of their course and its content. They really need to know if something isn’t working. They’ll contact us if they’re having technical problems.
  • Second, make sure that the file you’re submitting isn’t too big (a 15GB video file will not upload to Canvas).

Third, since some content may be restricted to accounts signed into the Asbury Seminary Gmail accounts, try signing out of all Gmail accounts that you have and then logging back into Canvas and Gmail through Asbury Connect. That just might do it!

I’m having trouble with my username and/or password to Connect, Library Catalog, etc.! Who can help?

Look around the page and see if there is a “forgot password” link or button somewhere. Most of the time, those systems can work. Occasionally, you have a unique username and that makes the system difficult to navigate. In those cases, you may just have to call or email the Help Desk to get things moving.

How do I cite a resource (book, webpage, blog, etc.)?

There’s a button on that page to make an appointment (In person, over Zoom, or just through email correspondence).

How do I get eBooks from the Library?

eBooks from the library come from a few different places. However, the most common one is EBSCO. Check out this page for a basic how-to guide.).

My course schedule doesn’t show all of my courses! Where are they?

The “My Class Schedule” page defaults to a week view. So, click on the “My Schedule” PDF link near the top of the section to download a PDF of your full current courses OR choose the “View by… List” link to change the view option on the page.

How do I get my copy of Microsoft Office?
  • –go to com, sign in with your Asbury email and password. Download office 365
  • How do I print on campus?
  • — Select the Asbury Printer Network from the list of printers in the computer lab or sign into asburyseminary.edu using your seminary login info. Upload the job you wish to print. Then go to any printer in the library with a card reader, swipe the card and print the jobs.
  • Asbury websites are not loading, how can I fix that?
  • — Clear the cache and cookies from your web browser.

Business Office

How do I find and pay my balance?

You can find and pay your balance from the student portal! Your balance will be on the student portal homepage in the lower right-hand corner under the “glance” box. To make a payment from your student portal go to the ‘my finances tab’ and then click ‘make a payment’ You have two payment options online: 1) pay with an electronic check which is free of charge; or, 2) use a credit or debit card, which charges a 2.75% processing fee. Another payment option is to come in person to the Kentucky Campus Business Office and pay by check or cash.  (We do not accept card payments in the Business Office; these are only available online.) You can also mail your payment to Asbury Theological Seminary, Attn: Business Office, 204 N. Lexington Ave., Wilmore, KY 40390.

How do I know when payment is due?

You can find this information on Asbury Connect under the business office tab. There will be a ‘resources for students’ section that will have Billing information Sheets. These will tell you all the important dates you need to know for your semester here at Asbury, including when your charges are due. We also send out an email to all students before the term begins that includes the information as well.

Do you offer a payment plan?

We unfortunately do not offer a payment plan. If payment is not made in full by the due date your student account is charged a $50 late payment fee and your account is put on hold. This does NOT drop you from any current classes you are taking, it simply means you will not be allowed to register for any upcoming terms or receive your transcript until the balance is paid in full. Plenty of students pay after the due date so that they have an extended time to pay their bill.

How do I request my surplus balance to be refunded to me?

All you need to do is email business.office@asburyseminary.edu and request the exact amount you would like to receive. You can then either receive your funds by electronic check or direct deposit (To sign up for direct deposit please send an email to business.office@asburyseminary.edu with your cellphone number.) Funds are sent out on Wednesdays and Fridays and the deadline to get your request in for those days is the day before at 11 a.m.

Financial Aid Office

How do I apply for financial aid?

To apply for financial aid, you will need to submit the FAFSA and the Asbury Financial Aid Application. The Asbury Financial Aid Application can be found on the student portal.

Do I need to reapply for financial aid every year?

Yes, you must resubmit the FAFSA and Asbury Financial Aid Application each academic year.

How do I view and accept my financial aid award?

Your financial aid award is available on your student portal under that academic year’s award letter. You will then open the award letter to view/approve your scholarship and/or loan funding.

How can I find out what’s happening on campus?

Connect–Asbury Seminary’s portal is called AsburyConnect. The portal is used for announcements, community forums, emergency notifications and internal web pages. Students should check this portal regularly for updates and to access information from various departments, such as Financial Aid, Registrar, Library, Career Services, etc.

Community News–Community News with a Seminary Spotlight video is an unofficial blog of Asbury Theological Seminary that provides community updates and announcements about upcoming events, opportunities for students and chapel services. Community News is delivered via weekly email.
